ResponsibilitiesProvide administrative support to the Executive Vice President of Business Affairs of the Motion Pictures Group.
Answer all calls and provide overflow phone coverage to other Business Affairs executives.
Schedule and coordinate meetings
Act as liaison between senior level executives, internal departments and high-profile business associates.
Assist with high-level, confidential, special projects.
Coordinate domestic and international travel as well as travel-related expense reports.
Manage and reconcile both the executive credit account and office credit account.
Maintain a complex filing system for projects and talent deals.
Prepare, track and manage files for offsite storage.
Oversee departmental operations (i.e., order office supplies, manage vendor accounts, coordinate with facilities, etc.)
Draft and distribute both internal and external correspondence.
Core hours: 9:30 am – 7 pm; additional overtime as required
5+ years of administrative experience, preferably with a production company, agency, entertainment law firm or studio
Extremely knowledgeable in Microsoft Word, Excel, and Outlook
Well organized with strict attention to detail

Entertainment/film industry experience strongly preferred
Ability to multi-task and prioritize work assignments
Ability to work with and maintain confidential information
Candidate should display a great deal of discretion, initiative, strong interpersonal skills and ability to work well under pressure
Knowledge of Apple products is a plus
